IFM Knowledge series - Emerging trends in IFM

"The future belongs to those who prepare for it today"

Trying to identify what the future holds is akin to looking at a mythical crystal ball, in today's times; let alone trying to create an arsenal to take on the future.

If there is anything we have learnt in the preceding 10 months, is that the future is uncertain. This shouldn't however dissuade us from planning based on data that we have access to. We have continuously been talking to our various stakeholders to try to understand the future of FM - our clients spread across the entire country, FM professionals and subject matter experts, policy makers, FM ecosystem partners (Legal, HR, Suppliers) & more.

Based on our conversations, the following key trends are emerging:

1. Office spaces are no longer fixed spaces - organisations are open to the idea of a fluid "workspace" that may "occur" at the traditional office or homes or even third party co-working spaces - any space that an employee may desire to transform into. The fluid workspace will need to be equipped with physical infra, intellectual infra, collaborative infra, emotional infra for an employee to function productively.

2. "Not on your face presence" - the erstwhile FM focussed on visibility of personnel to create the notion of a well oiled functioning FM machine, this however is being ignored by many to create a more "behind the scenes" FM. FM assets & infra are merging into the physical spaces with more DIY orientation and digitalisation. FM service providers here have an opportunity to backward integrate into facility design and construction considering their huge advantage of in-depth understanding of workspace functional dynamics.

3. An omni-present FM - IFM took on the role of saviours, heroes, essential workers; no longer confined to silos of maintenance or cleaning or security. The end to end gamut of planning to holistic operations for entire physical assets has come under the scope of IFM.

4. Finally migrating into a "real" SLA based evaluation matrix - As FM becomes omni present without being on your face, SLA based evaluation of services are being the norm. This works out best for all stakeholders as the focus shifts to outcomes rather than headcount.

As key stakeholders, it is advisable to be cognisant of these trends and plan businesses accordingly.

IFM - Lets pat our backs !!

2020 has been a wrecking ball. Destroying the "Normal" we were used to. Businesses have been particularly affected, across sectors, & regions - not distinguishing between mega corporations & small businesses. And our Industry being the backbone of the economy at large; was not spared either.

Now that 2020 is over, and we herald a new year; we pray with bated breaths that a "new normal" be established bringing in prosperity for one & all.

Amongst mixed feelings of relief and new hope; let us not forget to PAT OUR BACKS. The entire FM industry has been a shining example of grit in these unprecedented times. With millions of employees spread across the country; the IFM industry witnessed minimal attrition and we should take a moment to stand back and applaud all the stakeholders.

* Corporates & industries & organizations who stood by the FM service providers in ensuring compensation & fees even when they remained closed

* Employees who navigated through myriad problems in executing their essential duties emerging as the real heroes

* Governments across the country, who launched pro-employment and credit schemes to help businesses support their workforce

Yes there were exceptions; but these were too few and far between.

It is with pride that we affirm our membership to this illustrious industry, and together let us commit to a glorious future.

How to review your Facility Management Partner?

Here your FM partner may have clear expectations of payment receipts and may charge you a commercial interest in case of delay in payments

    2. SOPs to be followed as an accompanying annexure

    3. List of government compliances and liaisoning to be executed

    4. Commercial arrangement

    5. Escalation matrix

  2. Dashboards

    1. Weekly Dashboards that list performance of your partner across all service segments

    2. Monthly compliance checklist of government regulations as well as building assets

    3. Training & Maintenance Schedules Trackers

    4. Expense Tracker across all segments whether repair & maintenance, housekeeping consumables

    5. AMC status of various building assets

    6. Any update to any laws and regulations that may be applicable to you.

    7. Monthly end user satisfaction survey.

  3. Monthly Review Meetings

Returning to the workplace - Maintenance checklist

Unlock phase has prompted many of us to return to the office, it is time to carefully evaluate our physical workplaces.

With many businesses preoccupied with reconfiguring their offices to meet new social distancing and hygiene measures, key maintenance has fallen to the bottom of many return-to-work checklists.

From assessing water supplies to checking air ventilation systems are still working - the role of maintenance and facilities teams has never been more important as they ensure the safety and wellbeing of users.

Following tips for facilities managers as employees begin to return to workplaces will come handy:

HVAC

  • Ventilation and air-conditioning systems should run on full fresh air where possible
  • Extend mechanical vent operations
  • It is not recommended to switch vent systems off in any buildings, even those temporarily vacated, but operate them continuously at reduced speeds
  • Recirculation of air between spaces, rooms or zones occupied by different people should be avoided
  • Ensure users are aware of the impact of changing ventilation controls
  • Ensure ventilation grills are not blocked
  • Minimise airborne contaminants through proper and effective filtration and regular maintenance

Water services

  • Control measures for toilets and washroom facilities to be reviewed

General COVID-19 areas of consideration

  • Covid-19 Risk Assessment should be completed
  • Single point of building entry where possible
  • Clear routing and person flow around the building
  • Temperature checks of staff and visitors upon entry

More on plastic ban in Mumbai - India's first plastic buyback scheme to kick in

Maharashtra governemnt will launch a plastic buyback scheme - the first in India - to ensure recycling of plastics that has been banned. This scheme will launch on Wednesday.


The scheme currently will offer buyback by retailers on PET bottles and milk pouches. In effect, a deposit paid to a retailer will be returned by handing bottles and pouches back to the store. 

To know more about the ban, readers may refer notification called the Maharashtra Plastic and Thermocol Products (Manufacture, Usage, Sale, transport, handling and Storage) notification, 2018.
